Exhibitor Next Steps

Are you a first time exhibitor at WasteExpo 2024?  Or have you exhibited before but just need a refresher on what steps to take now that you have your booth reserved?  We would like to take this opportunity to provide some helpful tips and suggestions for you whether you’re a first timer or returning exhibitor. Make sure that you are ready for your staff and your booth to stand out amongst the crowd, and most importantly, have a successful WasteExpo!

Important First Steps

Login to the Exhibitor Console to access all the things you’ll need to prepare for the show.  Your login information can be found on the second page of your Invoice/Confirmation statement from when you first reserved your booth.  If you need help finding this, please contact our customer service team at [email protected].

Please note: onPeak is the only official housing provider associated with WasteExpo. While other hotel resellers may contact you offering housing for your trip, they are not endorsed by or affiliated with the show. Entering into financial agreements with such companies may have costly consequences.

Badge Information

All Exhibitor badges are unlimited and free if ordered by 3/1/24.

Badges ordered after 3/1/24 and onsite are allotted based on your booth size as follows:

  • Four FREE badges per 100 square feet of booth space, up to a maximum of 50 free badges (ie: if your booth is 100 sqft, you will receive four free badges. If it’s 400 sq ft, you will receive 16 free badges).
  • Badges beyond this allotment are priced at $55 per badge.

IMPORTANT: Exhibitor badges are for exhibitor personnel, not for guests or attendees. We do have two programs to allow you to invite an unlimited amount of your
customers or guests to WasteExpo.  More information is below under “Invite Your Customers.”

Exhibitor Badges will provide access to: 

  • Show floor during setup/move-out hours, and all exhibit floor show hours
  • Healthcare Waste Tabletops
  • General Conferences (education sessions and tracks: Food Recovery Forum; Composting & Organics Recycling Track; Business Insights & Policy; Operations, Fleet & Safety; Recycling & Landfill; Sustainability Talks, Technology & Innovation)
  • Does NOT include: Premium Conference & Co-located events:  Healthcare Waste Conference, Investor Summit
  • You can order registrations to these at an additional cost when ordering your badges

 

Welcome Reception Tickets

  • All exhibitors are allotted Welcome Reception Tickets based on their booth size, similar to the badge allotment – 4 tickets/100 sqft of booth space to a max of 50 tickets (even before the March 1st deadline for unlimited exhibitor badges). Allotted tickets need to be assigned in Registration to print with one person from your company, or individually added to each person’s registration that should receive a ticket.  Only badges over your allotment will be charged $85 per ticket.

Online Exhibitor Listing

Exhibitor Service Kit (ESK)

This is a valuable tool that lets attendees know who you are.

You will want to update your online listing as soon as possible. Your online Show Directory Listing includes:

  • A company description of up to 500 characters long.
  • Up to ten Product Category boxes to assist in attendee searches.
  • Company URL.

Please ask your Account Manager about upgrades and sponsorship opportunities. Login to your Exhibitor Console and click on Edit Booth Info to begin.

The Exhibitor Service Kit is your one stop guide to show and rules and regulations, shipping and move in information, and ordering carpet, furniture, etc. for your booth. You can also order Internet, Electricity and Lead Retrieval from here. The Kit will be live on the website approximately five months before the show. We will send out an email notifying exhibitors when the Kit is available.

Within the ESK you can find the booth approval form. The booth approval form is requested for all exhibitors to ensure that no enforcement of the booth rules and regulations is necessary onsite.

Invite Your Customers to the Show

Onsite

We have two easy ways to invite your customers to WasteExpo!

  • VIP Pass – Download this pass and email it to as many customers as you would like, or simply share the Promo Code in the email with them.  They would just register for the show and use the promo code to receive free exhibit hall access and a 25% discount off the Premium Conference Pass.
  • Feathr – We have partnered with Feathr, which can be accessed in your Exhibitor Console or through a custom email they will send you. Once you log into your personalized dashboard, you can send invitations to your customers and use our WWETT Show branding to promote your presence at the show. For questions regarding feathr once it’s available, you can contact [email protected]

Marketing and Sponsorships can add that little something extra to help you stand out from the crowd.  We have a variety of options of all price points and ways to promote your brand.

Lead Retrieval — Investing in a badge scanner will help to keep track of sales leads and their contact info which will also save time and effort in the long run. You can order this through the Exhibitor Service Kit.

Badge/ID — Make sure that you have your badge and photo ID on you at all times.

Meals — Make sure you have water and snacks.

Need help onsite?  — Know your Floor Manager and GES service Executive.

Conference and Events —Take advantage of educational seminars as well as events that offer onsite networking opportunities.

 


Boothmanship

What is Boothmanship?
Simply put, Boothmanship is the way you conduct yourself when you are in your booth during show floor hours. It can go a long way in determining whether or not you have a successful show. It takes only 4 seconds to make a first impression on an attendee (good or bad) and you only have one chance to make a first impression!

Remember to be courteous, professional, make eye contact, and smile!

Tips for Booth Etiquette

  • While working the exhibit, don't sit in your booth or lean on the exhibit counters.
  • Don't spend time talking on your cell phone, with booth neighbors, or to your other booth staff.
  • Make eye contact; never ignore a prospect, even if you're with another prospect. (Give them a nod and "just a minute" sign). Include them into your conversation.

Post Show

Make sure that you follow up with your booth leads shortly after the show. This will help keep your product fresh in their mind, show that you want to do business, and get your leads into the next step of the sales process.
